1. Who is responsible for your data
The administrator of the shipmentvisibility.com service is the controller of personal information processed for the website, accounts, billing and support. You can reach us at support@shipmentvisibility.com about any privacy matter.
For shipment data and consignee data that customers add to the service, including data shown on a customer's branded tracking page, the customer is the controller (the "business" under California law) and we act as processor (the "service provider") on the customer's behalf and on its instructions.
2. Data we process
- Account data. Name, business email address, company name, role, password stored as a one way hash, plan and team membership.
- Billing data. Plan, billing period, invoice details, billing address and tax details you provide, and payment status. Card numbers are entered with our payment processor and never stored on our servers.
- Shipment data the customer adds. Tracking numbers (container, PRO, air waybill, bill of lading, parcel), carrier, origin, destination, references such as purchase order or order numbers, events, milestones and ETAs.
- Consignee data processed on the customer's behalf. Recipient name, email address, delivery city and ZIP code, and order references that the customer adds to send notifications or show a tracking page.
- Lookup data. Numbers entered in the tracking box on the site and the optional Ship to ZIP, used to return the result.
- Usage and technical data. IP address, browser and device type, pages visited, actions in the dashboard, log entries and error reports.
- Support data. The content of emails you send us and our replies.
3. Why we process data and on what basis
- To create and run your account and provide the service you subscribe to (performance of a contract).
- To retrieve tracking events from carriers, predict ETAs, send the alerts and notifications you configure and show tracking pages (performance of a contract, and processing on the customer's instructions for consignee data).
- To bill subscriptions, keep invoices and meet tax and accounting duties (contract and legal obligation).
- To keep the service secure, prevent abuse and fraud, and fix errors (legitimate interests).
- To answer support requests (contract and legitimate interests).
- To send service emails such as sign-in codes, billing notices and changes to these documents (contract and legitimate interests).
We do not use your data for automated decisions that have legal or similarly significant effects on you.
4. Who receives data
We share personal information only with categories of recipients that help us run the service, under contracts that limit use to providing services to us.
- Hosting provider, which stores and runs the application and databases.
- Payment processor, which handles card payments, subscriptions and fraud checks.
- Email delivery provider, which sends sign-in codes, alerts, notifications and service emails.
- Tracking data providers and carriers, which receive tracking numbers and related references so they can return shipment events.
- Error monitoring provider, which receives technical error reports.
We may also disclose information when required by law, to protect our rights or the safety of users, or as part of a reorganization or transfer of the service, in which case this Policy continues to apply.
5. No selling or sharing for advertising
We do not sell personal information. We do not share personal information for cross-context behavioral advertising. We do not use advertising pixels or third party advertising cookies.
6. Cookies
The site sets only strictly necessary cookies: a session cookie that keeps you signed in, a security token that protects forms, and cookies that store basic preferences. These cookies are required for the site to work, so no consent is requested. We do not use analytics or advertising cookies.
7. How long we keep data
- Account data, while the account exists, and up to 30 days after it is closed.
- Shipment data and consignee data, for the history period of your plan (90 days on Starter, 1 year on Growth, 2 years on Pro, custom on Enterprise), and until the account is closed. Customers can delete shipments at any time.
- Billing records and invoices, for the period required by tax and accounting law, usually 7 years.
- Lookup data from the site, up to 30 days.
- Logs and error reports, up to 90 days, unless needed longer to investigate a security incident.
- Support emails, up to 3 years after the last message.
8. Your rights
Depending on where you live, you have the right to know what personal information we process, to access it, to receive a copy in a portable format, to correct it, to delete it and to restrict or object to certain processing.
California residents have rights under the CCPA as amended by the CPRA: the right to know, to delete, to correct, to opt out of sale or sharing (we do neither), to limit use of sensitive personal information (we do not use it beyond what is necessary for the service) and the right not to be discriminated against for using these rights. You may use an authorized agent.
Residents of the European Economic Area, the United Kingdom and Switzerland have rights under the GDPR, including the right to withdraw consent where processing is based on consent and the right to lodge a complaint with a supervisory authority.
To use any right, email support@shipmentvisibility.com from the address linked to your account. We verify the request and answer within 45 days (one month under the GDPR). If your data was added by one of our customers (for example as a consignee), we forward your request to that customer and assist it.
9. International transfers
The service is operated from the United States and our providers may process data in the United States and other countries. Where the GDPR applies, transfers rely on adequacy decisions or standard contractual clauses.
10. Security
We protect data with encryption in transit, hashed passwords, access limited to staff who need it, separation of customer accounts and regular backups. No system is perfectly secure, and we notify affected customers and authorities of a data breach where the law requires it. More on our security page.
11. Children
The service is for businesses and is not directed to children under 16. We do not knowingly collect their personal information.
12. Changes to this Policy
We may update this Policy. The date at the top shows the latest version. We inform account holders of material changes by email before they take effect.
